Terms Of Service

Please Read Carefully

All bookings are subject to these terms of service offered by Active Ireland Events Limited, Amberley, Killiney Road, Dalkey, Co. Dublin referred to below as ‘the company’. If you have any questions about these terms and conditions, please contact us on 089 2299458 or via email to info@activecamps.ie.

Definitions:

The Company: Active Ireland Events Limited

Customers: Any parent/guardian of a child/children who is in attendance and/or participating in a camp organised by the company

Booking

Places are allocated on a first come first served basis.By submitting a booking the customer represents to us that they have the authority to make the booking for their child or on behalf of a group and that they accept that the booking is subject to these Terms of Service. A contract exists as soon as the booking is confirmed, either via email or through our Online Booking Service Provider. Customers should check the details of their booking carefully and promptly to ensure that it accurately reflects the arrangement they have requested. They should immediately inform the company of any discrepancies.If customers are under 18, we will require their parent’s/guardian’s consent prior to them participating in any of our camps. All campers must be at least 5 years old and be attending primary school.When booking a place on Camp the customer is declaring to be a parent / guardian of the child/children they are booking onto camp.

Payments

All camp prices are subject to change. In order to secure a booking the full amount is due at the time of booking.The company reserves the right to cancel any booking without prior notice if full payment has not been made in accordance with these conditions

Cancellations

All cancellations made by the customer must be made in writing and submitted via email. In the event of a cancellation or a request to reschedule more than 14 days before a camp commences, we will refund the amount paid to date or reschedule the session (pending availability). In the event of cancellations/rescheduling less than 14 days before a session commences, the amount paid to date is forfeited. Non-attendance will result in the entire amount paid to date to be forfeited. The company reserves the right to cancel or reschedule a camp at any time without any prior notice where we believe it is necessary due to unsuitable conditions. Rescheduling a camp, for example due to weather, is not a cancellation. If a camp has to be cancelled by the company, customers have the option to book into another camp or to get a full refund.

Medical attention

A Health Declaration must be signed in advance by all customers. The customer will permit for basic First Aid to be administered by a member of staff or by a qualified medical practitioner and in case of a medical emergency for a medical practitioner to provide emergency treatment and/or medication.

Activities / Group Structure

The nature of camp activities is weather dependent and therefore are subject to change. The company reserves the right to adjust schedules and activities accordingly.

Unruly Behaviour

If the customer or any member of their party is behaving in such a way as to cause danger, upset or distress to any third party or damage to property, the company reserves the right either for the safety of staff or other participants to remove the person from the camp if necessary. No refunds will be given and the customers are liable for any damage caused by their children.

Insurance

The company have public liability and employers liability insurance. A copy of any of the policies are available upon request by any customer. Personal Accident Insurance against injury, accident, or loss whilst on camp is the responsibility of the customer. In the event of an injury or accident involving the child/children booked onto the camp the customer accepts that the company will not be liable for any direct or indirect loss, damage or injury arising from or associated with their participation in the activities offered by the company and hereby waiver all and any claims against the company in this regard in relation to the child /children booked on to camp by the customer.

Photographs

The company occasionally takes photographs and/or video during sessions, which may appear on the company’s brochures, websites and other marketing materials including online. If a customer does not wish for their child to be photographed this should be raised with the company in writing before the session commences.

Applicable law

The contract and any dispute or claim arising out of it or in connection with it shall be governed by and construed in accordance with the Irish law. The customer irrevocably agrees that any dispute that arises shall be dealt with under the exclusive jurisdiction of the courts of The Republic of Ireland.

Understanding of Terms and Conditions

The company’s acceptance of any booking will only be done subject to the customer’s acceptance of these conditions and the Terms and Conditions on the company’s websites. Payment will be regarded as evidence of acceptance of and consent to these conditions.

Child Protection Policy

Introduction

Active Ireland Events Ltd (referred to hereafter as Active Ireland) are committed to providing all children a safe, fun, and nurturing environment. The welfare of the children in our care is our highest priority, and we are dedicated to safeguarding and promoting their well-being.

Scope

This policy applies to all our staff, volunteers, and any individuals involved in any of Active Ireland activities.

Policy Statement

We believe that:

- The welfare of the child is paramount.

- All children, regardless of age, disability, gender, racial heritage, religious belief, sexual orientation, or identity, have the right to equal protection from all types of harm or abuse.

- Working in partnership with children, parents, guardians, and other agencies is essential in promoting children's welfare.

Code of Conduct

All staff and volunteers must:

- Always act in the best interest of the child.

- Treat all children with respect and dignity.

- Ensure that interactions with children are appropriate and professional.

- Avoid any behavior that could be misinterpreted or lead to allegations of misconduct.

- Follow the company's procedures for reporting concerns and allegations of abuse.

Recruitment and Training

- All potential staff and volunteers will undergo a thorough vetting process, including background checks and reference checks.

- New staff and volunteers will receive comprehensive training on child protection policies and procedures.

- Ongoing training will be provided to ensure that all staff and volunteers are aware of the latest safeguarding practices and legal requirements.

Supervision and Ratios

- We will maintain appropriate staff-to-child ratios at all times.

- All activities will be supervised to ensure the safety and well-being of the children.

- Staff will conduct regular headcounts and roll calls to ensure all children are accounted for.

Reporting Concerns

- Any concerns about the welfare of a child must be reported immediately to the Director / designated Child Protection Officer.

- Concerns can include physical, emotional, or sexual abuse, neglect, or any other form of harm.

- All reports will be taken seriously and dealt with promptly and confidentially.

Responding to Disclosures

- If a child discloses information regarding abuse or harm, staff and volunteers must listen carefully, reassure the child, and avoid making any promises they cannot keep.

- The disclosure must be reported immediately to the Camp Director / Child Protection Officer.

- Detailed records of the disclosure, including the time, date, and exact words of the child, must be kept.

Anti-Bullying Policy

- Bullying in any form is not tolerated.

- Staff will actively monitor interactions among children and intervene in any instances of bullying.

- Support will be provided to both the victim and the bully to resolve conflicts and promote positive behavior.

Health and Safety

- All Active Ireland activities will provide a safe and secure environment with proper facilities and equipment.

- Regular safety checks and risk assessments will be conducted.

- First aid facilities will be available, and staff will be trained in first aid procedures.

Parental Involvement

- We encourage open communication with parents and guardians.

- Parents will be informed of our child protection policies and procedures.

- Any concerns or feedback from parents will be addressed promptly and professionally.

Review and Monitoring

- This policy will be reviewed annually and updated as necessary to ensure it remains effective and compliant with legal requirements.

- The implementation of this policy will be monitored regularly by the Camp Director and Child Protection Officer.
